REPOSTING 6.3.2022 - Tomaquag Museum has embarked upon an exciting Capital Campaign which has quietly raised $3 million of its $11 million goal. The Executive Assistant will be a vital component of the campaign's success. Join this passionate team. Tomaquag is a BIPOC lea nonprofit organization.
The Executive Assistant will provide administrative support to the Executive Director. Tomaquag Museum is preparing for a long-term (three to five years) capital campaign which will be used to build, furnish and outfit a brand-new museum campus in Kingston, RI. This position will enable the Executive Director (ED) to devote the necessary time on the campaign related tasks and maintain the regular Tomaquag Museum operations and programs.
Essential Job Responsibilities: • Supporting all administrative work • Scheduling management for ED • Communications such as: answering/making telephone calls/emails, letters, memos, etc.) • Vendor relations, purchasing • Interoffice communications • Attending meetings with ED, as requested • Office management including but not limited to: coordinating mailings, mail merges, filing, ordering office supplies, note taking, data entry, etc. • Campaign support including but not limited to: communication, stewardship, note taking, documentation, report & presentation preparation; data collection; take pictures to support documentation; organization/purchase of collateral materials; prepare prospect packets • Support administrative tasks and coordination with Board of Directors and the New Museum subcommittee • Assist in coordination of events that support the museum and/or the campaign • Other duties as assigned
Desired Qualifications: • Bachelor’s Degree preferred or equivalent combination of education and experience similar to the duties described. • Minimum of five years of prior administrative experience, preferably in a nonprofit organization, fundraising, development, or advancement office. • High proficiency in Microsoft Office (Word; Excel; PowerPoint) and Apple Suite (Pages, Keynote, Numbers). • Ability to type 60 words per minute with accuracy • High level of aptitude in calendar management. • Ability to work calmly and effectively, and prioritize assignments in a fast paced, high production environment. • Ability to meet deadlines while managing multiple projects. • Must be detailed-oriented, flexible, and proactive—with a willingness to address needs as they arise. • Excellent interpersonal and communication skills, both verbal and written, and expected to maintain the highest level of confidentiality, discretion, and professionalism. • Ability to represent the Tomaquag Museum with external stakeholders and work effectively with colleagues at every level including members of the Board. • Occasional nights/weekends for select events will be required. • Expected to work with limited supervision, to communicate status of projects, and to identify problems and seek guidance in resolution from supervisor. • Demonstrate a willingness and ability to support a diverse and inclusive environment. • Sincere commitment to fulfilling Tomaquag Museum’s Mission • Physical Qualifications Ability to lift materials up to 15 lbs. • Background Check required prior to hire.
Compensation: $40,000 - $48,000 plus benefits
